STALLHOLDER TERMS AND CONDITIONS
The Artisan Show
These Terms and Conditions apply to all artisan markets, craft fairs and events organised by The Artisan Show (“the Organiser”).
By submitting an application, paying for a stall or attending an event, the Stallholder agrees to these Terms and Conditions.

1. Definitions
Event means any market, fair or exhibition organised by the Organiser.
Stallholder means the individual or business trading at the Event.
Pitch means the allocated trading space.
Venue means the location where the Event is held.
2. Applications
Applications are considered on quality, suitability, originality and product mix.
Acceptance of an application is entirely at the Organiser’s discretion.
The Organiser reserves the right to refuse any application without giving a reason.
Previous attendance does not guarantee future acceptance.
3. Product Criteria
The Organiser aims to maintain a high-quality artisan market.
Products should be:
● handmade by the Stallholder
● designed by the Stallholder
● locally produced where applicable
● artisan food or drink
● original artwork
● other items (where permitted)
The following are not permitted:
● mass-produced goods
● counterfeit items
● replica branded products
● illegal products
● offensive material
● weapons
● vaping products
● alcohol (unless licensed)
● age-restricted goods without approval
The Organiser reserves the right to inspect products before and during the Event.
Any goods considered unsuitable must be removed immediately.
Failure to comply may result in removal from the Event.
4. Booking and Payment
A booking is confirmed only when:
● the application has been accepted
● payment has been received in full
Invoices must be paid by the stated due date.
Late payment may result in cancellation of the booking.
Bookings cannot be transferred without written permission.
5. Stall Allocation
Pitch allocations are made by the Organiser.
The Organiser reserves the right to:
● alter layouts
● move pitches
● change stall sizes
● relocate traders
No guarantee is given regarding pitch location.
6. Cancellations by Stallholders
Written notice of cancellation must be provided.
Refund policy:
● No refunds will be issued for deposits.
● Refunds may be issued in certain circumstances if agreed by the organisers.
If a waiting list exists and the pitch is re-sold, the Organiser may refund all or part of the fee at their discretion.
7. Cancellation by the Organiser
The Organiser reserves the right to cancel, postpone or alter the Event due to:
● severe weather
● flooding
● venue issues
● government restrictions
● public health emergencies
● insufficient bookings
● safety concerns
● circumstances beyond reasonable control
Where possible, the Organiser may:
● transfer bookings to another date
● issue event credit
● provide a refund
The Organiser shall not be liable for consequential losses including:
● accommodation costs
● travel expenses
● loss of earnings
● stock preparation
● staffing costs
8. Force Majeure
The Organiser shall not be liable for failure to perform obligations due to events beyond reasonable control including:
● storms
● snow
● flooding
● fire
● terrorism
● pandemic
● epidemic
● civil unrest
● power failure
● venue closure
● transport disruption
9. Arrival and Set-Up
Stallholders must:
● arrive during allocated times
● follow steward instructions
● unload promptly
● remove vehicles immediately after unloading
Late arrivals may not be admitted.
No refunds will be given for late arrival.
10. Trading Hours
Stalls must remain open throughout advertised trading hours.
Early departure is not permitted without permission.
Leaving early may affect acceptance to future events.
11. Stall Presentation
All stalls should:
● be clean
● professional
● attractive
● fully stocked
● safe
Table coverings should reach the floor where possible.
Storage boxes should be hidden.
The Organiser reserves the right to request improvements.
12. Gazebos and Outdoor Equipment
Outdoor traders using gazebos must:
● use commercial-grade gazebos
● secure each leg with a minimum 15 kg weight (or the weight specified by the Organiser)
● use suitable guy ropes where required
The Organiser may prohibit trading if a gazebo is considered unsafe.
13. Electrical Equipment
Any electrical equipment must:
● be safe
● comply with current regulations
● be suitable for public use
The Organiser may request evidence of Portable Appliance Testing (PAT) where appropriate.
Unsafe equipment must not be used.
14. Health and Safety
Each Stallholder is responsible for:
● their own risk assessment
● maintaining a safe stall
● preventing trip hazards
● ensuring displays are secure
● reporting accidents immediately
Fire exits must remain clear.
No naked flames unless authorised.
15. Food Vendors
Food businesses must:
● be registered with their local authority
● hold a Food Hygiene Rating where applicable
● comply with food safety legislation
● provide allergen information
● maintain suitable temperature controls
Copies of certificates may be requested before the Event.
16. Insurance
Every Stallholder must hold Public Liability Insurance with a minimum indemnity of £5 million.
Food traders should also hold Product Liability Insurance.
Insurance documents must be supplied upon request.
Failure to provide insurance may result in cancellation.
17. Licences
The Stallholder is responsible for obtaining any licences required for their business, including but not limited to:
● street trading
● alcohol sales
● music
● food sales
18. Risk Assessments
The Organiser may require risk assessments for:
● food traders
● demonstrations
● machinery
● electrical equipment
● children’s activities
19. Waste
Stallholders must:
● keep their pitch tidy
● remove all rubbish
● dispose of waste responsibly
Waste must not be left at the Venue.
Cleaning costs may be charged.
20. Parking
Parking is at the owner’s risk.
Vehicles must only park in designated areas.
21. Security
While reasonable measures may be taken, the Organiser cannot guarantee security.
Stallholders remain responsible for:
● stock
● cash
● equipment
● personal belongings
22. Photography
The Organiser may photograph or film:
● stalls
● products
● visitors
● traders
Images may be used in:
● advertising
● websites
● social media
● printed marketing
Unless written notice is received before the Event, Stallholders consent to such use.
23. Social Media
The Organiser encourages Stallholders to promote the Event.
Stallholders must not publish defamatory or misleading comments about:
● the Event
● other traders
● staff
● visitors
24. Intellectual Property
The Stallholder warrants that all products:
● are original
● do not infringe copyright
● do not breach trademarks
● do not breach design rights
The Stallholder indemnifies the Organiser against any related claims.
25. Conduct
Stallholders must behave professionally at all times.
The following will not be tolerated:
● abusive language
● threatening behaviour
● discrimination
● harassment
● intoxication
● illegal activity
The Organiser may require immediate removal.
26. Children and Animals
Children accompanying Stallholders must be supervised at all times.
Dogs are permitted only where allowed by the Venue and must remain under control.
27. Noise
No amplified music or excessive noise without prior permission.
28. Smoking and Vaping
Smoking and vaping are prohibited inside buildings and only permitted in designated areas.
29. Liability
The Organiser accepts no responsibility for:
● theft
● damage
● weather-related losses
● business interruption
● consequential financial loss
Nothing in these Terms excludes liability for death or personal injury caused by negligence or for fraud.
30. Indemnity
The Stallholder agrees to indemnify and hold harmless the Organiser against any claims, damages, costs, liabilities or expenses arising from the Stallholder’s negligence, breach of these Terms and Conditions, or the sale of their products.
31. Data Protection
Personal data will be processed in accordance with applicable UK data protection legislation and used solely for the administration of Events, communication with Stallholders, and related marketing where consent has been provided.
32. Breach of Terms
The Organiser may:
● remove products
● close a stall
● remove a Stallholder
● refuse future bookings
● retain stall fees
where these Terms have been breached.
33. Complaints
Complaints should be submitted in writing within 14 days of the Event.
The Organiser will investigate and respond within a reasonable period.
34. Amendments
The Organiser reserves the right to amend these Terms and Conditions at any time.
The latest published version will apply to future bookings.
35. Governing Law
These Terms and Conditions shall be governed by the laws of England and Wales.
Any dispute shall be subject to the exclusive jurisdiction of the courts of England and Wales.
Declaration
By submitting an application, paying for a stall or attending an Event organised by [Event Organiser Name], the Stallholder confirms that they have read, understood and agree to these Terms and Conditions
